Admin VA - Part Time

One of our client is looking for a highly motivated and skilled Virtual Assistant to support their growing business by managing and integrating various digital platforms across their sites, team members, and customer base. The ideal candidate will have expertise in Mighty Networks, HubSpot CRM, MindBody, Deputy, Stripe, and Xero. This role offers an exciting opportunity to help streamline operations, improve user experiences, and contribute to our continued success.

This is a part-time position, requiring 30 hours per week. Flexibility in scheduling is possible, but availability during key business hours is preferred.

Key Responsibilities

  • Platform Integration and Development

    • Effectively integrate and manage Mighty Networks, HubSpot CRM, MindBody, Deputy, Stripe, and Xero platforms.

    • Identify and implement process improvements to optimize the use of these platforms across the business.

    • Ensure seamless communication and data flow between systems to enhance operational efficiency.

  • Administrative Support

    • Assist in the creation and maintenance of customer databases and records.

    • Support scheduling, appointment management, and communication workflows for team members and customers.

    • Manage platform configurations to meet evolving business needs.

  • Customer and Team Support

    • Provide technical assistance and training for team members on platform functionalities.

    • Serve as a point of contact for customer queries related to platform usage and billing.

  • Reporting and Analysis

    • Generate regular reports from HubSpot CRM, MindBody, and Xero to track performance metrics.

    • Analyze data and provide actionable insights to support strategic decisions.

  • Billing and Financial Coordination

    • Oversee payment processing through Stripe and ensure accurate financial tracking in Xero.

    • Reconcile transactions and assist with financial reporting.

Qualifications and Skills

  • Proven experience as a Virtual Assistant or similar role, with expertise in Mighty Networks, HubSpot CRM, MindBody, Deputy, Stripe, and Xero.

  • Strong technical proficiency and ability to troubleshoot platform-related issues.

  • Excellent organizational and project management skills.

  • Strong communication skills, both written and verbal.

  • Analytical mindset with attention to detail.

  • Ability to work independently and manage multiple priorities effectively

Preferred Qualifications

  • Familiarity with wellness, coaching, or service-based industries.

  • Experience in process optimization and automation

  • Knowledge of data security and privacy best practices

Initial Minimum Compensation Package

- Part Time (20 Hours) is $100 AUD to be paid WEEKLY. (Average of $434.5 AUD per month)

- Full Time (40 Hours) is $200 AUD to be paid WEEKLY. (Average of $869 AUD per month)

RAM - 8 GB (Preferred 16 GB)
